Job Description

The Medical Administrative Assistant plays a vital role in supporting healthcare providers by managing a wide range of administrative and clinical tasks, with a primary focus on optimizing provider efficiency and ensuring high-quality patient care. This position requires a proactive, organized, and patient-focused individual capable of balancing both administrative and clinical support responsibilities in a dynamic healthcare environment.

In this role, the Medical Administrative Assistant will be responsible for performing all clerical and information technology functions for assigned medical providers. This includes managing electronic medical records (EMRs), maintaining up-to-date patient demographic and insurance information, and ensuring compliance with all applicable standards, policies, and procedures.

In the capacity of a Certified/Registered Medical Assistant (CMA/RMA), the Medical Administrative Assistant will also assist providers in delivering direct patient care within their scope of training. This includes preparing patients for examinations, supporting medical procedures and treatments, and contributing to the overall efficiency of patient care delivery—particularly within skilled nursing facilities. The duties include facilitating timely and accurate scheduling of patient appointments to meet all visit requirements, supporting the medical work-up of patients to enhance provider workflow, and ensuring seamless communication and coordination between clinical and administrative teams. The duties include, but are not limited to

  • Accompanies the provider as needed to document information that is discussed during the visit in the EMR, including but not limited to Chief Complaint, HPI, Review of Systems, and updating medication and problem lists.
  • Ensuring that the patient documentation is complete and patient visits locked in ECW.
  • Prepare and assist the provider with performing work-up of patients to include patient examinations, procedures, and treatments.
  • Assists the provider with entering orders for any medications, referrals, or tests that the provider deems necessary.
  • Perform the patient registration process, including collecting necessary patient payor information and patient demographics, and ensuring that the data is placed in ECW in a timely, accurate, and complete manner.
  • Appointment scheduling and rescheduling appointments for patients

Skills/Education/Experience

  • Must be proficient with EMR and able to provide detailed patient charting
  • Basic understanding of Microsoft Word and Excel
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations
  • Must be willing to be flexible, calm, and productive in a stressful environment
  • Must have excellent communication skills, both written and verbal
  • Completion of a medical assisting education program that is approved/accepted by the South Carolina Board of Medical Examiners
  • Maintains current certification from a certifying body offering a certification program that is: approved by the South Carolina Board of Medical Examiners and the Board of Nursing; and is accredited by the National Commission for Certifying Agencies or other accreditation body recognized by the Board of Medical Examiners and the Board of Nursing
  • One (1) to three (3) years’ medical assistant experience is required
  • Knowledge and understanding of medical insurance is strongly preferred
