Job Description

Under the supervision of the Program Director, the Administrative Assistant at ROADS is responsible for managing a variety of critical administrative tasks. Key duties include processing new patient intakes and referrals, verifying insurance coverage, creating and maintaining Excel spreadsheets, and organizing patient files for the ROADS school-based care program. This role requires strong attention to detail, excellent organizational skills, and the ability to handle sensitive information with confidentiality and accuracy. The duties include the following:

  • Collaborate effectively with team members to support a cohesive and productive work environment.
  • Utilize the SC Medicaid portal, DentaQuest, and various private insurance databases to verify insurance coverage and identify patient eligibility.
  • Assist the clinical team by addressing insurance verification inquiries and resolving issues as needed.
  • Communicate regularly with assigned school nurses to confirm school-related information and coordinate activities for Mobile Unit visits.
  • Review assigned registration and consent forms for completeness and accuracy; verify insurance eligibility and refer uninsured families to the assigned team member for assistance with Medicaid or other public programs.
  • Create and maintain detailed Excel spreadsheets to track active, inactive, and pending ROADS student enrollees.
  • Review and update patient insurance and demographic information promptly, ensuring accuracy by communicating with the patient and/or guarantor as needed.
  • Partner with the ROADS clinical team to support efficient, seamless workflow across programs.
  • Respond to inquiries, issues, and concerns raised by ROADS staff via phone calls and emails, offering timely and effective support.
  • Receive cross-training in vital signs assessment and telehealth equipment to provide additional support when needed.
  • Handle sensitive patient and employee information with the utmost confidentiality and professionalism.
  • Answer, route, and manage incoming phone calls with professionalism; take accurate messages and ensure timely follow-up.
  • Complete and sign off on all required documentation in PowerDMS and Relias in a timely and thorough manner.
  • Respond promptly and professionally to emails and Microsoft Teams notifications.
  • Float to assigned locations, including Mobile Units or off-site clinics, as required.
  • Participation in school based related activities (school registrations, open houses, Treats on the Streets and etc) is required on a rotation basis by all staff.
  • Proactively take on additional tasks and responsibilities as assigned by the Director of Mobile and Telehealth Services.

Education and Experience

  • High school diploma or equivalent required. 
  • Three (3) to five (5) years’ experience in field or related field is required.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and Windows operating systems; strong general computer skills required.
  • Familiarity with standard office equipment and a minimum typing speed of 30 words per minute.
  • Exceptional attention to detail, with a strong commitment to accuracy and thoroughness.
  • Excellent interpersonal and communication skills, with the ability to work effectively with a wide range of individuals in a diverse community.
  • Demonstrated ability to interpret and follow a variety of instructions presented in written, oral, diagram, or schedule form.
  • Effective problem-solving skills.
  • Able to work independently and manage multiple tasks or variables in structured environments.
  • A valid driver's license is required.

Hours

 Monday – Friday, Full Time 40 hours per week.
